Sales history import
Turn Square or CSV sales history into a market packing plan
How to bring past sales into StallSmart through a Square connection or a CSV upload, what columns the importer understands, and what a CSV cannot prove.
Quick answer
StallSmart takes sales history two ways: a Square connection that maps locations and items, or a CSV with at least a sale date, product and quantity or revenue per row. Either way, you confirm which market each sale belongs to before it shapes a Bring List.
Before you import
In StallSmart, set up your business, your markets and your products with their selling unit and price first. Imports attach sales to those markets and products; they do not invent them for you.
Two ways in
Connect Square
- On the sales upload page, choose Square and connect your account.
- Match each Square location to a StallSmart market, or skip it. Only matched locations import. One location can serve several markets, so you can assign sales to markets day by day in the preview.
- Preview a date range (the last six months by default). Refunds reduce item revenue; tips and taxes are excluded.
- Match Square items to your products. Verified matches apply automatically; suggested matches are approximate, so you choose.
- Review, then import.
Upload a CSV
- Export sales from your till, spreadsheet or point-of-sale system as a .csv file.
- Upload it and map each column: sale date, product, quantity sold, revenue, market and the optional fields below.
- Confirm one date convention for the whole file.
- Assign each market value and product name in the file to your StallSmart markets and products.
- Review warnings and overlaps with existing sales, then import.
For Square’s own export steps, use their current help pages: Square Support: Print, export or email your reports and Square Support: Item, category and modifier sales reports. A Square item sales summary is not automatically a usable import: StallSmart needs sales by date, and summaries that roll a whole period into one row lose that.
What the CSV importer understands
| Column | Needed? | Notes |
|---|---|---|
| Sale date | Required | One per row. YYYY-MM-DD, MM/DD/YYYY, DD/MM/YYYY, MM-DD-YYYY, DD-MM-YYYY, D Mon YYYY or Month D, YYYY. One convention per file. |
| Product name | Required | Matched to your products during review. |
| Quantity sold | Quantity or revenue | Units in the product’s selling unit. If only revenue is given, quantity is worked out from the product’s price and must divide cleanly. |
| Revenue / unit price | Optional | US dollars only. |
| Market / location | Optional | If missing, you choose one market for the whole file. |
| SKU, notes | Optional | Kept with the sale. |
| Transaction ID, line ID | Optional | Strongly recommended. They make duplicate checks reliable. |
Limits: a .csv file up to 5 MB, 10,000 rows and 80 columns. A row with zero quantity and zero revenue is treated as an explicit “nothing sold” day, which you confirm before import.
A sample file
Invented data, safe to copyEvery value below is made up. Revenue equals quantity times an invented price ($9 loaf, $18 candle, $4 seedling).
Sale date,Product,Quantity sold,Revenue,Market,Transaction ID 2026-08-08,Sourdough loaf,12,108.00,Riverside Saturday,T-1001 2026-08-08,Beeswax candle,5,90.00,Riverside Saturday,T-1002 2026-08-12,Sourdough loaf,9,81.00,Hillcrest Wednesday,T-1003 2026-08-12,Tomato seedling,14,56.00,Hillcrest Wednesday,T-1004 2026-08-15,Sourdough loaf,15,135.00,Riverside Saturday,T-1005 2026-08-15,Beeswax candle,0,0.00,Riverside Saturday,T-1006
What a CSV cannot prove
- Without transaction or line IDs, individual transactions cannot be verified from the file, so duplicate detection is approximate. Repeated rows are kept.
- A CSV is not a verified link to your Square account, and imported numbers are not an accounting reconciliation.
- Sales history shows what sold, not what customers wanted. Sold-out days understate demand.
- Never post a real export publicly. It can contain customer, seller or payment details.
After the import
Each market’s Bring List uses the sales assigned to it. Every line shows the average sold, how many past days that is based on, and a confidence level; with too little history it tells you so. See a sample Bring List.
Next: understand your quantity baseline, then pack for market day.
